Privacy Policy

RoleQuill (“we”, “us”), operated by Dominic Pinoteau, runs an automated job-search service at rolequill.com. This policy explains what data we collect, why, who we share it with, and the choices you have. We aim to collect the minimum needed to run the service and never sell your data.
What we collect
- Account details — your email address and (optionally) your full name. Passwords are stored only as a salted hash; we never see or store your actual password.
- Resumes — the files you upload (PDF/DOCX/TXT) and the text extracted from them, plus skills and profile keywords we detect. This is used to match and score jobs for you.
- Search & application data — the criteria you enter (title, location, pay, work type, languages), the results we generate, and any applications you choose to track.
- Payment records — if you buy credits, our payment processor (Stripe) handles your card details. We never receive or store your card number. We keep a record of the purchase and credits granted.
How we use it
Solely to operate the service: authenticate you, run and score your job searches, generate your reports and Excel exports, track applications you save, apply credits and process payments, and keep the service secure. We do not use your resume or email for advertising, and we do not sell your personal data to anyone.
Who we share it with
We share the minimum necessary with service providers that make RoleQuill work:
- Render — hosting and database/file storage.
- Cloudflare — DNS and TLS (encryption in transit).
- Stripe — payment processing (their privacy policy).
- Job-search providers — to find matches we send your search terms (title, location, keywords) to SerpApi (Google Jobs) and RapidAPI/JSearch. We never send your resume, email, or name to these providers.
Who at RoleQuill can see your data
We take internal access seriously. Our admin dashboard is deliberately built to show only aggregate metrics and user initials — it does not display your email address or your resume. As the operator, we retain the ability to access the underlying database when strictly necessary to run, debug, or secure the service, or to comply with the law. We commit to accessing individual resumes and emails only for those purposes, never out of curiosity and never to share or sell them.
Security
Data is transmitted over HTTPS. Passwords are hashed. Session cookies are HTTP-only and, in production, restricted to HTTPS. No system is perfectly secure, but we work to protect your data and to limit what we collect in the first place.
Data retention
We keep your data while your account is active. You can delete individual resumes at any time from your dashboard, and you can delete your entire account and all associated data at any time from your Account & privacy page. Deletion removes your records from our database and the associated files from disk.
Your rights
- Access / portability — download everything we hold on you as a JSON file from your Account page.
- Erasure — permanently delete your account and data from the same page.
- Correction — update your name or re-upload a resume at any time, or contact us for help.
Depending on where you live (e.g. the EU/UK under GDPR or California under CCPA), you may have additional rights. Contact us and we will honor them.
Children
RoleQuill is not directed to anyone under 16, and we do not knowingly collect their data.
Changes
If we make material changes to this policy we will update the date above and, where appropriate, notify you.
